The same night, somebody in a house you'll never hear about asks their phone who services heat pumps nearby. An answer comes back. Your company is in it or it isn't, and nobody at your office finds out.

The assistant that speaks for you
Some heating and cooling problems are safety emergencies, not service questions, so the first job is sorting what kind of night this is. Each hazard has its own path, in your own approved wording: a gas smell means leave the building, then call 911 or the gas utility from a safe place; a carbon monoxide alarm or a smoke alarm means leave and call 911. An assistant that answers any of those with "let me take your details" has asked somebody in danger to sit still.
Water coming through a ceiling comes next, and it isn't automatically safe: water near wiring, or a ceiling starting to sag, is its own hazard. Tell the homeowner to stay out of that room, to shut the system down only if that's safe, and get somebody out the same day. Below that: a cold house that can't wait long. Then ordinary work that can wait for morning. Without clear urgency levels, a safety alarm and a noisy blower land on your phone looking the same.
Taking the details should be quick. The technician on call needs the town, whether the system is heating or cooling, whether it's dead or just not keeping up, how long, and a number to call back. Asking a homeowner at midnight to read a model number off a panel in a dark closet is where these conversations end.
